How we work:

 

We inspect your files, discuss your requirements and provide a quotation.

 

Our scanning quote is based on the number of Folders (file headings) and approximate number of pages/images, as file size may vary considerably.

 

 

The cost will be calculated on the final number of pages and headings scanned.

Data Capture and Document Scanning

Our Scanning Bureau has recently been enhanced to provide customers with a highly professional and well managed scanning service that will generate an effective and efficient manner for the retrieval of information.

The Scanning Bureau offers your company a fully comprehensive document management system, allowing information to be retrieved to your desktop, for viewing, printing or emailing directly from the retrieval system, while being confident that very important documentation is safely stored in our offsite archival area.

TDW has developed and written its own processing software, after long and in-depth studies of several software packages on the market, so as to bring to you a best processing software, which is versatile and accommodates your line of business as opposed to you having to change your systems to accommodate an imaging system.

Our strength lies in the survey that we would undertake to understand your processes and your document flow, so that we can utilize the versatility of our system to design and create an imaging system that would best reach the objectives and the requirements that you want to achieve.

The task of achieving an effective system is a labour intensive one, and the success thereof lies in the manner of preparation of the documents for scanning, the scanning of the documents and the indexing of the documents for retrieval purposes. Each of our customers’ documents are very different and the success of the system is mainly attributed to how the processing system is designed specifically to meet the requirements of a specific job, as well as ensuring that quality control of each process in maintained at all times.

 

The preparation of the documents for scanning includes:

  • Removal of staples, paper clips or any alternative binding materials
  • Reparation of damaged documents
  • Ensuring that the fields necessary for indexing are present and visible on the documents
  • Ensuring that the document is visibly of scanning quality
  • If the document is not “scannable” or is missing index information, a reject control process is established, where the document is managed back to client to obtain the index criteria or alternatively to obtain a better reprint of a bad original
  • An unique address is stamped onto the document comprising of the box number and a position number of the document in the box. This assist with final verification as well as an easy method of pulling the original from the box very quickly should the original be required
  • Documents are managed as either single pages or multiple page documents and are batched accordingly for processing

Post Scanning:

 

1.    Following the scanning of your files into PDF or another electronic format, you may require for the original documents

       to be stored either short or long term. We can store them for you at the Document Warehouse storage facility.

2.    After we receive your scanning approval confirmation and your shredding authorisation, only then will your scanned documents    

       be shredded at cost per archive box.

3.    If long term storage is required, a monthly storage fee will be charged based on the quantity of archive boxes stored with us.

4.    Stored document requiring retrieval will be delivered the following morning.

 

 

Other Services we Offer:

Packing and Indexing your files:

1.    If required we can sort, data capture, index and pack your files into bar-coded archive boxes - in date order (for ease of  

       future destruction) or as required.

2.    We will load and deliver to our depot then capture into our File Tracking System and rack for storage.

 

 

  A full indexed list is provided on completion.

 

An estimated quote will be provided prior to commencement.
